Being organized just helps make daily life activities go smoother. It just makes sense to get organized to increase efficiency. As much as we would like to be multi-taskers, the truth is we really can only do one thing at a time.  We may do a lot of different things in a short period of time, but we don’t always do our best work when jumping from one task to another. Being organized is the key to improving our production.  Good organization enables us to track our progress and instantly evaluate that progress is being made.

We all realize at some level that the good organization is extremely beneficial to our personal lives. Organization keeps our brains from going into overdrive and allows us to focus on the things we want to get done. When we are living in chaos and disorder, we slip into depression feeling overwhelmed and confused.

“One of the most important rules of personal effectiveness is the 10/90 rule. The first 10% of time that you spend planning and organizing your work before you begin will save you as much as 90% of the time in getting the job done once you get started.” – Adapted from Brian Tracy

What can you do to get your workspace or home organized?  Here’s a step-by-step approach you can use to help get you started.

Step 1.  Make a plan – everything has a place.

Take a good look at the space you want to organize and how you want to use it.  Make sure that you think about which things you use frequently and need to have in a convenient and reachable location.  Those items not used frequently can be efficiently stored in more permanent storage locations.  This is a good time to evaluate if an item is needed at all.  Is this something you can get rid of?

For many people, it helps to write the plan down.  You can always change it later, but this will help to really think about how everything should be arranged.

Step 2.  Actively scan for clutter – do an inventory inspection.

Whether it’s monthly, quarterly, or even annually, take the time to periodically walk around and give the space your organizing an inspection.  When was the last time you walked through your garage and checked for clutter?  Often, we get caught up in day-to-day activities and don’t take the time to re-evaluate.  If you make an appointment with yourself to do an inspection, you may be surprised at what you find occupying space with no real purpose.  Once you identify any clutter, you can make the decision regarding what action to take.

Step 3.  Watch out for clutter traps – Storage bins, duplicate items, knick-knack nostalgia, and closets full of unused clothes.

Really evaluate if you want to keep something.  Sometimes we just buy a storage bin to throw stuff in and then never or rarely ever look at what’s in there.  Keepsake items may be precious to you, but is there a really a good place for display or is it just clutter?  We all tend to collect clothes that we don’t wear over time.  As a part of Step 2, make an appointment to look through your wardrobe and honestly evaluate what you’ll wear and what should be donated to a good cause.

Step 4.  Keep it simple – think about finding an easy solution for staying organized.

Can’t find your car keys?  Can’t find the TV remote control?  Make it a habit to always put those frequently used in the same place.  Reinforce the habit at first by thinking about checking to make sure those items are in their designated location.  Also, think about storing items that are used together in the same location.  For example, collecting everything you need for paying monthly bills in one specific office drawer.

Step 5.  Make a schedule and stick to it.

Some places in your office or home will need to be decluttered more often than others.  So, identify how often you need to re-look at the organization of that particular space.  For example, the kitchen countertop, kitchen cabinets, drawers, and closets may all have different time frames you’ll want to revisit them – daily, weekly, or maybe monthly.  Write down the schedule on the plan and stick to the schedule.

Getting started and getting the first draft of your plan is place is the hardest part.  Then, as time progresses and you’ll your organizational efficiency will increase many fold.
